Registration Policy

Registration is finalized only when you have completed the registration process below. Payment and forms are due at least one week in advance of class. Late registration may be accepted if space is available with an additional fee of $25 up to 2 business days before class.

Registration information and payment must be received by us prior to the first day of class. Your registration is complete only when we have received payment in our office. If space allows, we may accept late registration once the session has begun. Class fees will be pro-rated after the first month of the session and a $50 late fee will apply.

Please complete these steps to register:

  • Register and pay on a class or event page through the online form.
  • Complete the Participation Waiver. Please complete one form for EACH PERSON who will attend the class or event (enrolled participant and each person who will attend with that participant).

General Payment Policy and Deposit Requirement for Weekly Classes

Forest Kindergarten and Homeschool Field class

  • A non-refundable $250.00 deposit is required to hold your child’s space in the class. This is part of the full semester tuition and will be applied to it.
  • Full payment is due one week prior to the first class of the semester. Please reach out to us at [email protected] if you’d like to set up a payment plan.
  • Drop-in classes are based on space available. Arrangements must be made at least one week in advance and paid in full by the date of the drop-in class. Please email us at [email protected] to schedule a drop-in.

Absence Policy

To ensure the long-term stability of Earthroots, missed classes and scheduled events will not be excused from payment, regardless of the reason. Payments are due on the first of the month to cover the upcoming month’s classes. If your child is unable to attend class, full payment is still required to hold their place in the class.

*There are no refunds for missed classes — so please plan carefully.

Cancelation Policy for Weekly Classes

Forest Kindergarten and Homeschool Field class

  • If you cancel more than 30 days before the first day of class, there is a $100 cancelation fee, and the balance of any payments will be refunded.
  • If you cancel between 7 and 30 days before the first day of class, there is a $150 cancelation fee and the balance of any payments will be refunded.
  • There are no refunds if cancelation is less than 7 days before the first day of class.
  • **No refunds will be given in the middle of a semester.**

Cancelation Policy for all Other Programs

  • If you cancel more than 2 weeks before the day of class (one day classes) or the first day of class (classes in a series) a cancellation fee of 50% of the tuition will be charged. The balance will be refunded.
  • If you cancel more than 1 week but less than 2 weeks before the day of class (one day classes) or the first day of class (classes in a series) a cancellation fee of 75% of the tuition will be charged. The balance will be refunded.
  • There are no refunds if cancellation is less than 7 days before the day of class (one day classes) or the first day of class (classes in a series).
  • **No refunds will be given in the middle of a session.**

Charter School Payment Guidelines

Earthroots values our relationship with local charter schools.

  • All Purchase Orders (PO’s) for the entire semester (16 weeks) must be received two weeks prior to the start of the semester.
  • If you are registering mid-semester and using charter funds, PO’s must be in place prior to attending first class.
  • PO’s can also be accepted for one-time classes and events. PO’s must be received one week prior to the date of the class or event.

Scholarship Policy

Scholarships are available for eligible families. Scholarships for Earthroots Field School are limited in their scope and are intended as assistance to enable people to participate who otherwise would be unable to afford the full cost of our programs. Submission of a scholarship application does NOT automatically register a participant for a program or reserve a space in that program. Please do NOT register online for a program if you are applying for a scholarship for that program. We will reach out to you when we receive your application. Earthroots is committed to creating nature connection opportunities for BIPOC (Black, Indigenous and People of Color) participants. We are offering two full BIPOC Scholarships for this program.
